How to encrypt Social Security Numbers on checks and reports
Products Affected:- Professional Series for Windows
- Business System for Windows
Solution:
Social Security numbers can be printed, encrypted or not printed at all. When encrypted, the first five digits are printed as asterisks (*) and only the last four digits print.
If the user wants to print the SSN, take no action.
To encrypt the SSN on payroll reports:- Go to Print Reports
- Select the payroll report to print.
- On the right-hand side of the screen, leave the box 'Print Social Security Number' checked and select 'Print only last four digits' from the drop down menu.
- Follow steps 1-2 as shown above.
- On the right-hand side of the screen, remove the checkmark from the 'Print Social Security Number' box.
- For after-the-fact checks, go to Entry Options and select to print the last four digits. Or, uncheck 'Print Social Security Number' so that the SSN does not print.
- For live payroll checks, the SSN controls are on the Print Checks/Advices screen.
